API integrations

Connect your software without multiplying re-entries.

Information entered in the right place must reach the right tool, with a responsible person identified when the connection encounters an error.

Your reality, our starting point

CRM · ERP · Business tools

Retailers, construction companies, workshops and professional services may need to link catalog, CRM, invoicing, bookings or intervention records. The meaning and frequency of exchanges are defined according to the business.

An API integration allows two software to exchange information according to defined rules. Umbeli designs these connections for SMEs: request received on the site, file in the CRM, quote status or operational data. We start from the process to be secured and the real possibilities of each tool.

From need to process

Follow data from its source to its use.

Explore the steps. This scenario illustrates an operation to adapt to your business.

  1. A validated request or a modified file triggers the exchange. We choose the reference source and the information that really needs to circulate.

  2. Formats and identifiers are verified. The same event received twice must not create two files; missing data must be detected.

  3. The result of the transmission remains consultable. If a tool does not respond, recovery rules and alerts allow handling the incident without losing the file.

An identified event

Example of a process, without reservation or data submission.

What exchange should be automated?

Choose a concrete event: a submitted form, a confirmed order, or a modified client record. Then identify the authoritative system for each data. Two-way synchronization requires more rules than a simple transfer.

  • List mandatory fields, identifiers, and attachments.
  • Decide what to do if data changes in both software.
  • Specify the acceptable delay: immediate, periodic or overnight processing.
  • Plan the contact person when a transfer fails.

Existing connector or custom development?

A native connector is often the right start when the offered fields and rules are sufficient. A custom integration becomes useful for multiple systems, particular validations, or file processing. If software does not offer a suitable API, a controlled import can be more reliable than automating its screen.

On the ground · Fepi

Scattered data do not yet tell an exploitable story.

For its ESG reporting platform, Fepi had to gather information from invoices, CSV files, and ERP systems. The problem was as much in data collection as in data reading.

The mandate focused on a reporting platform that gathers these flows in a structured interface. This example shows why source connection and information presentation are designed together before adding new indicators.

What an integration scope includes

Framing specifies applications, authorized accesses, transmitted fields, usage limits, and test environments. Development can include data validation, execution logs, alerts, and process recovery. Sensitive accesses remain server-side.

  • Tests on duplicates, missing fields and slow responses.
  • Processes designed to avoid creating the same file twice.
  • Documentation of rules and manual recovery procedure.
  • Responsible for API monitoring and updates.

Choose according to your situation

An existing connector or a custom API integration?

Start with the data to transmit and the errors to handle. The choice depends on the actual coverage of the tools.

Good starting pointThe necessary fields and actions are already covered.Rules, volumes or exchanges do not fit within the connector.
Data and errorsCheck the filters, duplicates and proposed history.Define transformations, retries and alerts with your team.
Cost over timeSubscription, volume limits and provider options.Development, possible hosting, monitoring and maintenance.
Decisive conditionA representative trial confirms that the process works.APIs and rights effectively allow the planned exchanges.

We first try the simplest process that meets the need. A specific connection is justified by an identified rule or limit.

Budget and maintenance: consider the entire process

The number of applications is not enough to estimate an integration. Data quality, access rights, frequency, quotas, and exception management determine the effort. Tool subscriptions, processing hosting, and maintenance are separated in the estimate. An API change by a provider may require adaptation.

Practical questions

Before starting

Can you connect any software?

Feasibility depends on APIs, permissions, and the plan of each provider. We verify these points before confirming the scope. Lack of an API may lead to file imports or a semi-automatic process.

What happens if a connection fails?

The project must anticipate detectable errors, retry attempts, and alerts. Sensitive operations are checked before repetition to avoid duplicates. A manual procedure remains necessary for uncovered cases.

Should we replace our CRM?

Not necessarily. If the CRM meets your team's needs, connecting the existing one may suffice. Replacement is only considered if functional or technical limits justify it.

Your turn

And at your place, how does it go?

A client request, the tools you use, and what is blocking you today: this information helps us suggest a concrete starting point.
