We start with a fairly frequent and stable task to describe: collecting a request, filing a document, preparing a follow-up, or transmitting information. You need to know the trigger, input data, and expected result. A sample of files also shows missing fields, duplicates, and cases that do not follow the rule.

A simple process can work with deterministic rules and an API connection. AI assistance becomes useful to read text, extract context, or prepare a response. The decision depends on error tolerance, source quality, and the possibility to control the result.

Automation must know which system is the reference. If a booking changes, which calendar is up to date? If a record already exists, should it be completed or a new one created? Access rights, repeated attempts, and execution logs prevent treating these questions as end-of-project details.

At Protecto, workshop requests and availabilities must align in the same process. In your company, we also define who takes over when the connection fails or a response requires judgment. Sensitive actions may require validation before execution.

A pilot allows comparing work before and after: actual time spent, completed files, necessary corrections, and requests taken over by a person. These observations help decide if the process is ready to be expanded. We do not replace this measurement with a universal promise of time savings.

The cost depends on accessible software, number of rules, volumes, and monitoring level. APIs, AI models, and hosting can generate usage fees. Maintenance includes changes to your tools and source review: a scenario that works today must be understandable and adjustable tomorrow.
